The Challenges

Hybrid work is here to stay. This means that Microsoft Teams Rooms (MTR) have become a critical hot topic for many organizations.

With more and more people back at the office, there are often key hybrid meetings taking place with both internal and external stakeholders. During these meetings, they expect top-quality voice and video quality in the MTR- all the time. However, from an IT management perspective, the situation is complex. Microsoft Teams Rooms management encompasses not only the devices’ health but also the quality of every meeting. This relies on optimal network performance, Microsoft Teams Service Health, and any other third parties involved in the Teams service delivery. To compound the complexity, information is also spread across several teams which makes it difficult to support your investment proactively and easily.

Why is Microsoft Teams Rooms Management Important?

Microsoft Teams Rooms are used to provide the best possible setting for online meetings. Therefore, they often hold critical sessions with Executives, VIPs, investors, customers, or prospects. The MTR provides the technology, and the credibility companies need when conducting business.

This is why the quality of service delivered in these Rooms is so important.

On top of that, they represent an investment in actual real estate in the office and so their ROI highly depends on their usage.

The bottom line though is that employees and your VIPs in particular will only use them if they know that they will have a better experience in the Room than at their desks or at home.

Deeper Dive

All Microsoft Teams-certified devices provide health data to the Teams tenant that is available in the Teams Admin Center. From there, you can check if you have any critical conditions happening on your rooms’ devices. However, you won’t receive any alerts if this is the case.

Now if you also want to see the meetings, then you have to go to the Teams Call Quality Dashboard (CQD).

This has its limitations though, as you can’t really drill down to the users associated with the room, you can’t get alerts if meetings have issues, and you have no information on the health of the network that supports these meetings.

Martello’s solution for Microsoft Teams Rooms Management, Vantage DX collects and transforms the performance data of these meetings into actionable data. You can set up alerts based on any condition you want – alerting when a certain percentage of meetings are poor or a certain percentage of users in a meeting had issues.

Vantage DX correlates the meetings data and alerts with the device health itself and brings this into consolidated dashboards. These dashboards surface everything you need to know and be aware of to proactively support your MTRs. Vantage DX can also continually test the performance of the network path between your meeting rooms and the Microsoft service, in addition to testing the quality of the audio and video calls from the Room if needed.

With Vantage DX’s Microsoft Teams Rooms Management, you have a complete view of MTR’s quality of service. This allows you to more efficiently ensure the quality of service, both proactively and reactively during business and off hours.
